Administrative Assistant 

Eastern Companies is looking for a full-time Administrative Assistant with Construction experience to work in our Buffalo, NY office.

Responsibilities:

  • Oversees guest experience, answers door for guests, mail, and deliveries.
  • Answer, screen, and forward direct phone calls and messages.
  • Purchase, stock, track use of, and distribute office supplies.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures).
  • File Management:
    • Maintain and organize insurance applications, policies, and audits.
    • Organize and file tax documents, property, and vehicle folders, as necessary.
    • Organize and file Insurance certificates / organize VPN-hosted project folders for new projects.
    • Assist with filing and organizing receipts, invoices.
  • Ensure compliance with all relevant federal, state, and local employment laws and regulations and ensure up-to-date job site postings for each work site.
  • Produce meeting minutes during Production Meetings/other meetings as requested.
  • Arranges travel processes, including flight and hotel booking, and car rentals.
  • Maintain the office property condition and arrange plowing/salting; coordinate any building or equipment repairs, if ever needed.
  • Work with necessary management and leadership to contract and price negotiations with office vendors, service providers, and equipment leases if/ when necessary. Ability to liaise internally and externally on admin matters with vendors, clientele, etc.
  • Assist with reports and information reporting when needed.
  • Provide support to leadership and other staff, as required.
  • Pick up drawings/prints from the printing vendor, as necessary.
  • Assist with processing 1099’s at year-end.
  • Direct subcontractor, vendor, and supplier process by assembling bid packages including scope of work, bidding process, and needed construction documents.
  • Oversee construction contract administration and submittal log processes to ensure that the contract document requirements are met throughout the construction experience, for each project.
  • Assist with estimating duties when necessary/as needed.

Requirements & Skills:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat.
  • Hands-on experience with office equipment (e.g. fax machines and printers).
  • Customer service experience and a positive attitude are required; Exceptional interpersonal skills and office etiquette are required, professional appearance is a must.
  • Must possess excellent written and verbal communication skills.
  • Negotiation and conflict resolution skills helpful; Ability to be resourceful/proactive when issues arise.
  • Excellent organizational skills are required.
  • Ability to work and complete tasks with minimal supervision.
  • Ability to produce quick turnaround on tasks, information/report requests, etc.
  • Must have multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Must have reliable transportation.
  • Associate’s or Bachelor’s Degree preferred; Construction industry knowledge and experience are a plus.

Schedule:

  • Monday to Friday
  • Position is full-time and will be based out of our Buffalo, NY office. This is not a “work remote” position at this time.

Director of Business Development

Eastern Companies seeks an experienced, highly skilled business development person to be responsible for improving our market position, building business relationships, identifying and pursuing potential clients, and generating new sales.

Responsibilities:

  • Identify prospective clients/pursue opportunities throughout the United States through multiple channels.
  • Maintain strong relationships with existing clients.
  • Drive sales by developing relationships with new and existing clients that will lead to work opportunities and building strong partnerships.
  • Following up with clients on current projects and new leads.
  • Creation of proposals with help from our full-time marketing department.
  • Organizing and maintaining a sales database.

Qualifications:

  • A Bachelor’s degree in business administration, construction management, or related field.
  • Minimum of 5 years of relevant industry experience.
  • Professional Engineering background/experience preferred.
  • Possess expert knowledge of commercial construction, real estate development including project schedules, job costing, value engineering, design-build process, and other general contracting practices.
  • Self-starter, requiring minimal supervision.
  • Superb oral, written, and communication skills.
  • Proficient in Microsoft Office (Word, Outlook, Excel, Powerpoint, Project).
  • Knowledge of Procore a plus
  • Planning and zoning experience a plus
  • Hospitality construction is a plus
  • Knowledge of construction practices and principles
